CSG East job opening: Events Coordinator

The Events Coordinator position supports the planning, coordination, and execution of the organization’s meetings, programs, and special events of various sizes, as well as booking travel for individual trips of members and colleagues. The position also conducts various administrative functions.

This opportunity is based in our New York City office but offers flexibility to work from home part of the work week.

What you’ll do:

  • Works with meetings program manager to plan, coordinate, and conduct logistics for conferences, programs, and events, including speaker management, registration and reporting, transportation, technology, equipment, printing, food and beverage, and other related issues.
  • Leads the meeting registration process for in-person and virtual events; staffs registration desk at on-site meetings.
  • Coordinates with organization staff for scheduling, food and beverage, meeting space, set-up and clean-up, and audio/visual and information technology needs for internal staff, programs, and events.
  • Coordinates with meetings program manager, logistics consultant, and organization staff to meet accommodation needs for program speakers, guests, and staff, as needed.
  • Works with program manager to compile and prepare onsite briefing packets, name badges, signage, and tent cards, and ensures that onsite equipment and supply needs are met.
  • Assists with packing and shipping, and arranges for return of meetings materials.
  • Supports the professional development programs manager with speaker and staff travel, hotel, and logistics.
  • Manages, orders, and keeps an accurate inventory of the organization’s supplies and equipment; keeps accurate records and inventories.
  • Coordinates with program manager with travel and booking appointments for state visits; including preparing and organizing state visit materials.
  • Assists in data collection and input into organization wide database.

 

What you’ll bring:

  • Bachelor’s degree in a related field required; or equivalent combination of education and experience.
  • Two or more years of work experience in event planning, marketing, or related area.
  • One or more years of work experience in supporting executive management, nonprofit, government or related sector.
  • Understanding of state government and not-for-profit organizations.
  • Ability to work effectively in a highly collaborative team environment as well as independently.
  • Professional demeanor and excellent customer service and interpersonal skills with both internal and external partners.
  • Strong writing and editing skills.
  • Ability to organize, prioritize, and complete multiple projects in a detail-oriented manner to meet schedule and timelines.
  • Advanced computer skills, specifically in Microsoft Excel and Word; experience with data sorting and mail merge.
  • Demonstrated database experience (Quorum and Cvent helpful); desire, willingness, and ability to learn new database programs essential.
  • Ability to communicate, both verbally and in writing, with business contacts and legislators in a courteous and professional manner.
  • Self-motivated, able to take initiative and see complex tasks through completion.
  • Excellent work ethic, dependable, resourceful, and willing to work some evening and weekends as events may require.
  • Ability to interact effectively with diverse people in different contexts and foster equity and inclusion through self-awareness, cultural sensitivity, and valuing others.
  • Dedication to public service with an unfailing commitment to act with civility, be nonpartisan in performing CSG duties, and be a responsible steward of member and donor funds.
  • Ability to travel by plane, public transportation, and vehicle for overnight trips of varying length to fulfill duties and responsibilities as needed.

CSG believes that pay equity and pay transparency advance workplace fairness. Compensation will be equitable and based on experience and education. The salary range for this position, based in New York City, is $58,000 to $68,000. This salary range is subject to change based on work location and market conditions.
